How to hand over a college club to next year's team intact

Abhinavtej ReddyNovember 3, 20267 min read

The short answer: a college club keeps its events, people, money and history through a leadership change if the outgoing officers hand over four things in order: the written records, the bank and payment access, the digital logins, and the people who know how things work. Start weeks before the change, not on the last day. Make sure nothing important sits in one person's name or personal account.

Start early

The sources disagree on exact lead times. They agree that earlier is better. One student-life guide says to begin at least six weeks before the academic year ends [2]. Another recommends holding elections at least one month before the college year closes, to leave time for the transition [1]. An Indian example comes from SAEINDIA's collegiate club guidelines. They say officers are usually elected by late April or early May, before students leave for summer, and that the election should take place at least one month before the college year ends [3].

Count back from your college's closing date. Fix the officer elections, the binder deadline and the handover meeting as dates on the calendar. Treat those dates as the plan.

Build one handover binder

Whitman's guide suggests a transition binder or webpage. It should hold contact details for old and new officers and advisers, the constitution, a club history with timelines, account information, and financial records with the current budget and common forms [1]. Other guides name the same core items: constitution or bylaws, budget, past event files, meeting minutes, contact lists and account logins [1].

A practical club binder has six sections:

SectionWhat goes in itWhy the next team needs it
Constitution and registrationBylaws, college approval letter, adviser detailsProves the club's standing and who can sign
Officers and advisersCurrent and past roles, phone numbers, emailsTells the successor who to ask
EventsPast event files, vendor contacts, venue notesStops the next team starting from scratch
MoneyCurrent budget, receipts, open payments, refund historyShows what is owed and what is spare
Digital accessWhere each login lives and who owns the accountPrevents lockouts
HistoryTimeline of the club and its major eventsKeeps the club's identity intact

Knox College's guide recommends that outgoing officers update the binder before the transition meeting [12]. Update it once, then freeze a dated copy. The successor then knows exactly which version they received. If the club is still being set up, how to start a club in college in India covers the approval step that the registration section should record.

Move money and bank access out of personal names

Money is where clubs most often lose track. A TidyHQ guide notes that a treasurer's personal card may have been paying for a club subscription. That card can be cancelled once the treasurer leaves. The club should move such payments to a club-owned method [6]. Check every recurring payment, every saved card and every payment gateway account for this problem.

The rules on bank accounts matter for Indian clubs, and they are not settled. SAEINDIA's 2018 guidelines say the account must be opened and operated only by two faculty advisers, with no option to use the college account [3]. Its 2026 guidelines say a club bank account should be opened in the club's name and operated by two faculty advisers. Alternatively, the club can use the college account with an indemnity bond [4]. The two versions disagree, so do not assume either one applies to you. Ask your student activity office which rule it follows. The 2018 guidelines also say reimbursement must not go to the college's account or to any personal account [3].

One Indian bank's current-account rules say an institution's account can be operated by office bearers. The bank wants a certified copy of the body's rules or bye-laws that lists those office bearers [5]. If your club is a registered body, the bye-laws and the office-bearer list are the documents a bank will likely ask for. Keep certified copies in the binder.

At handover, the outgoing treasurer should arrange with the successor to receive club funds. They should also help prepare the budget for approval [3]. Write the handover amount, the date and the signatures into the binder. Do not rely on memory.

Personal accounts are a poor home for event money. For more on that, see our piece on whether it is legal to collect event fees on a personal UPI ID. For the budget itself, see how to make a budget for a college fest.

Fix digital access before the handover

TidyHQ says digital access is the item clubs forget most often. A new committee may find itself unable to post on social media, log into the website or use email weeks after handover [6]. The UCL Students' Union asks outgoing committees to fill in a handover template. It covers club details, finance codes, membership fees, and all social media and email credentials. The template applies even if no successor has been elected [9].

Work through this list before the meeting:

  • Create or confirm a club-owned email address that is not tied to one officer.
  • Record the login route for the website, the payment account and any form tool. Note where each password is stored.
  • Write down who holds each social media login. The outgoing officer should hand these over in writing, as UCL's template requires [9].
  • Add the successor to each account before the handover, so access does not depend on the old officer.
  • After the handover, change the passwords, as several guides recommend. Keep the accounts running for the successor [7].

On Unifesto, a Space keeps events, people, money and history with the Space when the team changes. The roles are Space Admin, Curator, Co-Curator and Crew. Event history therefore does not depend on one person's account. If your club wants to run its events this way, you can request a Space. Give the successor the right role before the outgoing officer steps back.

Run the handover meeting

Several guides recommend a joint transition retreat or meeting of outgoing and incoming officers, with the adviser included [11]. Knox College suggests holding the meeting away from the organisation, with at least 2 to 3 weeks' notice to all officers [12]. UNLV advises scheduling at least two meetings between outgoing and incoming officers [13]. Durham's Students' Union suggests training sessions between each outgoing and incoming post-holder, since a handover stops the new committee starting from scratch [10].

A workable sequence:

  1. Two to three weeks before: send the meeting invite, the binder link and the list of logins that need changing.
  2. First meeting: walk through the binder section by section, with the adviser present.
  3. Between meetings: the successor runs one small task, such as posting an update or checking a payment. The outgoing officer stays on call.
  4. Second meeting: confirm access works, agree the budget, and give each open item an owner.
  5. After handover: the new team changes passwords and files any required change notices.

On change notices, Chaffey College requires a club to file a change petition within two weeks of any change to officers, advisor, name or constitution [8]. Check whether your college has a similar rule. A missed filing can cause problems later.

Clark College recommends that the outgoing president lead the choice of successors. Someone who will still be on campus next term should hold the key club information [15]. Advisers should also keep copies of key club materials, so the team can recover them if the handover goes wrong [14].

For the event side, the successor should inherit the checklist and the timeline of past events. Our guide on organising a college fest sets out a week-by-week plan you can hand over with the binder.

Our view

Our view: the most useful thing an outgoing team can do is move every login and payment out of personal names before the handover meeting, not after it. Clubs usually lose their history because one person held the only key. A binder alone does not fix that.

Where this advice falls short

Most of the detailed checklists here come from US and UK institutions. Only the SAEINDIA guidelines come from an Indian body. They cover a national collegiate club network rather than a general campus club, so your college may have different rules. The two SAEINDIA versions also disagree on bank accounts. Check your own college's student activity office for its rules on registration, bank accounts and officer-change forms before you act on any of this. We have not verified these steps with an Indian college office.

FAQ

Who should hold the club bank account after handover?

SAEINDIA's 2026 guidelines say the account should be in the club's name and operated by two faculty advisers. The club can alternatively use the college account with an indemnity bond [4]. The 2018 version allows only faculty advisers. Ask your college office which rule applies to you.

How early should the handover start?

One guide says at least six weeks before the academic year ends [2]. Another recommends holding elections at least one month before the college year closes [1]. Set your binder and meeting dates from the closing date and work backwards.

What happens to club logins after the outgoing officers leave?

TidyHQ notes that a new committee may be unable to post on social media, log into the website or use email weeks after handover, if access was never moved [6]. Add the successor as an admin before the handover. Change the passwords afterwards [7].

Do we need a meeting between the outgoing and incoming team?

Most guides recommend one. UNLV suggests at least two meetings [13]. Knox suggests holding the meeting away from the organisation, with at least 2 to 3 weeks' notice [12].
